ParchmentAI LLC (“ParchmentAI,” “we,” “us,” or “our”) respects the privacy of individuals who visit our Website, create or use accounts, communicate with us, or otherwise interact with our Services.
This Privacy Policy describes how ParchmentAI collects, uses, discloses, and otherwise processes personal information in connection with:
(a) the ParchmentAI website at parchment-ai.com and related public ParchmentAI websites (the “Website”);
(b) the ParchmentAI application at parchmentai.app and related authenticated application interfaces (the “Platform”); and
(c) related account administration, billing, support, and business activities.
This Privacy Policy should be read together with the ParchmentAI Terms of Use and, where applicable, any Business Associate Agreement (“BAA”) or other agreement between ParchmentAI and a Customer. Capitalized terms used but not defined in this Privacy Policy have the meanings given to them in the ParchmentAI Terms of Use.
1. Website and Platform Distinction
ParchmentAI operates both a public Website and an authenticated Platform.
The Website is used for information about ParchmentAI, marketing, communications, and related business purposes.
The Platform is the application through which Customers and their authorized Users access and use ParchmentAI’s software and artificial intelligence functionality.
Customer Data is submitted to and processed through the Platform and is not submitted to or processed through the public Website.
ParchmentAI may use analytics technologies on the Website as described in this Privacy Policy. ParchmentAI does not use third-party advertising or marketing tracking technologies within the authenticated Platform.
2. Information We Collect
2.1 Account and User Information
When a User creates or uses a ParchmentAI account, we may collect:
(a) first and last name;
(b) email address;
(c) a unique User identifier;
(d) organization or Customer account information associated with the User.
If a User chooses to use a phone number for multi-factor authentication, we may also collect and process that phone number for authentication and account-security purposes.
ParchmentAI uses Clerk to provide authentication and user-management services. Account information may therefore be processed and stored by Clerk on ParchmentAI’s behalf.
2.2 Billing and Subscription Information
ParchmentAI uses Stripe to process payments and manage subscriptions for paid Services.
Stripe collects and processes payment-method and billing information necessary to complete transactions. ParchmentAI does not directly store full payment card information.
ParchmentAI maintains the Stripe Customer identifier associated with the applicable User or Customer account. ParchmentAI also maintains account information identifying the product or subscription to which the User is currently entitled based on subscription information maintained by Stripe.
Account and billing systems may be linked using unique identifiers so that ParchmentAI can associate the appropriate Stripe billing account with the corresponding ParchmentAI account.
2.3 Platform Usage, Activity, and Log Information
When a User accesses or uses the Platform, ParchmentAI collects technical and operational information regarding that activity.
This information may include:
(a) the User’s unique identifier;
(b) timestamps;
(c) actions performed within the Platform;
(d) feature usage and event information;
(e) IP address;
(f) authentication and security events;
(g) error and diagnostic information; and
(h) system-performance information.
ParchmentAI associates certain activity information with a User’s unique identifier in order to attribute actions within the Platform to the User who performed them and to maintain security, operational, and audit records.
These logs do not contain Client Data, Configuration Data, or the substantive contents of Customer Data.
2.4 Website Usage and Analytics Information
When a person visits the Website, ParchmentAI and its analytics providers may automatically collect information regarding the visit, such as:
(a) pages viewed;
(b) referring pages, websites, or sources;
(c) interactions with the Website;
(d) browser and device information;
(e) cookies or similar identifiers;
(f) approximate geographic or location information derived from technical information; and
(g) similar Website usage information.
ParchmentAI currently uses Google Analytics to understand Website traffic, Website usage, how visitors find the Website, and the performance of ParchmentAI’s Website and search-engine optimization activities.
Google Analytics is used on the public Website and is not used as a marketing or advertising tracker within the authenticated Platform.
2.5 Communications and Support Information
If an individual contacts ParchmentAI, requests information, submits a support request, provides Feedback, or otherwise communicates with us, we may collect information contained in that communication, including the individual’s name, email address, contact information, and the content of the communication.
Customers and Users should not submit Client Data, Protected Health Information, or other confidential Customer Data through Website forms, general email, Feedback channels, or other communication channels outside the Platform.
2.6 Customer Data
Customers may submit or create information through the Platform in connection with their use of the Services.
As described in the Terms of Use, “Customer Data” consists of Client Data and Configuration Data.
Client Data generally consists of request-specific information processed through the Services, including submitted content, extracted content, prompts or instructions associated with a particular request, and Output generated in response to that information.
Configuration Data consists of information or content intentionally saved persistently within the Platform to configure, customize, or reuse the Services, such as templates, reusable instructions, mappings, workflow configurations, placeholders, and preferences.
Customer Data may contain personal information about patients, clients, employees, professionals, or other individuals depending on how a Customer uses the Services.
ParchmentAI generally processes Customer Data on behalf of and at the direction of its Customers. Customer Data is further governed by the Terms of Use and any applicable written agreement between ParchmentAI and the Customer.
2.7 Sources of Personal Information
ParchmentAI collects personal information:
(a) directly from Users, Customers, Website visitors, and other individuals;
(b) automatically through use of the Website and Platform;
(c) from service providers involved in providing the Services, such as Clerk and Stripe; and
(d) from Customer organizations that provision, authorize, or administer User accounts or access to the Services.
3. How We Use Personal Information
3.1 Purposes of Processing
ParchmentAI may use personal information to:
(a) create, authenticate, maintain, and administer User and Customer accounts;
(b) provide, operate, maintain, and secure the Website, Platform, and Services;
(c) authenticate Users and provide multi-factor authentication and other account-security functionality;
(d) process payments and administer subscriptions, billing, Seats, and account status;
(e) associate activity with the User who performed it and maintain operational, security, activity, and audit records;
(f) monitor system performance, diagnose errors, troubleshoot issues, and maintain the Services;
(g) understand how Users interact with the Services and improve functionality using non-content operational information;
(h) provide Customer support and respond to inquiries and communications;
(i) detect, investigate, prevent, and respond to fraud, abuse, security threats, unauthorized access, and unlawful activity;
(j) understand Website traffic, Website performance, referral sources, and search-engine optimization;
(k) communicate with Customers and Users regarding accounts, subscriptions, security, service changes, policies, and other administrative or transactional matters;
(l) enforce our agreements and protect the rights, safety, security, and integrity of ParchmentAI, our Customers, Users, and others;
(m) comply with applicable law, legal process, regulatory requirements, and lawful governmental requests; and
(n) carry out other purposes disclosed at the time information is collected or otherwise authorized by the applicable individual or Customer.
3.2 No Sale or Advertising Use of Customer Data
ParchmentAI does not sell personal information or Customer Data to third parties.
ParchmentAI does not use Customer Data for advertising or behavioral profiling.
ParchmentAI does not intentionally disclose Customer Data to advertising or marketing analytics providers.
ParchmentAI does not use or disclose personal information for purposes materially inconsistent with those described in this Privacy Policy, except as authorized by the applicable individual or Customer or as required or permitted by law.
3.3 Aggregated and De-Identified Information
ParchmentAI may create, use, and disclose aggregated or de-identified statistics derived from Website usage and from non-content operational and usage information relating to the Platform and Services for analytics, benchmarking, reporting, marketing, and improving the Services, provided that such statistics do not reasonably identify any Customer, User, patient, client, or other individual.
ParchmentAI does not create such statistics using the substantive contents of Client Data or Configuration Data.
4. Customer Data
Customer Data may contain personal information about patients, clients, employees, professionals, or other individuals, depending on how a Customer uses the Services.
ParchmentAI generally processes Customer Data on behalf of and at the direction of its Customers to provide the Services. Customer Data is governed by the ParchmentAI Terms of Use and any other applicable written agreement between ParchmentAI and the Customer.
As described in the Terms of Use, Client Data is processed transiently and is not persistently stored as part of the ordinary operation of the Services, while Configuration Data may be persistently stored for purposes of configuring and reusing the Services.
Where Customer Data contains Protected Health Information (“PHI”) subject to the Health Insurance Portability and Accountability Act and its implementing regulations (“HIPAA”), ParchmentAI’s processing of that information is additionally governed by the applicable Business Associate Agreement (“BAA”).
This Privacy Policy is not a HIPAA Notice of Privacy Practices. Individuals with questions or requests concerning PHI processed by ParchmentAI on behalf of a Customer should generally contact the applicable Customer or healthcare organization directly.
5. How We Disclose Information
ParchmentAI may disclose personal information in the following circumstances.
5.1 Service Providers
We may disclose personal information to vendors, contractors, and service providers that perform services on our behalf or assist us in operating our business.
Depending on the services they provide, these may include providers of:
(a) hosting and infrastructure;
(b) artificial intelligence and data processing;
(c) authentication and user management, including Clerk;
(d) payment processing and billing, including Stripe;
(e) security and monitoring;
(f) communications;
(g) electronic signatures;
(h) technical support; and
(i) Website analytics, including Google Analytics.
Service providers receive only the information reasonably necessary for the services they perform for ParchmentAI or the applicable Customer and are subject to applicable contractual, confidentiality, and security requirements.
Service providers that create, receive, maintain, or transmit PHI on ParchmentAI’s behalf are additionally subject to applicable HIPAA requirements and Business Associate Agreements.
5.2 Customer Organizations
If a User accesses the Platform through an account associated with a Customer organization, information concerning the User’s account and access may be associated with that organization.
Authorized administrators of the Customer account may be able to manage Users and permissions through functionality made available by the Platform.
5.3 Legal, Security, and Safety Purposes
ParchmentAI may preserve, use, or disclose information where reasonably necessary to:
(a) comply with applicable law, legal process, or a lawful governmental request;
(b) protect the rights, property, safety, or security of ParchmentAI, our Customers, Users, or others;
(c) investigate or prevent fraud, abuse, security incidents, or unlawful activity;
(d) enforce applicable agreements; or
(e) establish, exercise, or defend legal claims.
5.4 Business Transactions
ParchmentAI may disclose or transfer information in connection with a merger, acquisition, financing, corporate reorganization, sale of assets, due diligence process, or similar business transaction, subject to applicable confidentiality and legal requirements.
5.5 With Direction or Consent
We may disclose information when directed by a Customer or individual or with applicable authorization or consent.
6. Google Analytics and Website Technologies
ParchmentAI uses Google Analytics on the public Website to understand how visitors use the Website, how visitors arrive at the Website, and how the Website performs.
Google Analytics may use cookies and similar technologies to collect information about Website interactions and technical information, such as pages viewed, referral sources, browser and device information, and approximate geographic information. Google Analytics uses cookies and other identifiers to measure Website interactions.
Information processed by Google Analytics is subject to Google’s applicable terms and privacy practices.
Website visitors may control certain cookies through their browser settings and any privacy or cookie controls made available on the Website. Google also provides a Google Analytics browser opt-out mechanism.
ParchmentAI does not use Google Analytics or other third-party advertising or marketing tracking technologies within the authenticated Platform.
Customer Data is not processed through the public Website and is not transmitted to Google Analytics.
7. Data Retention
ParchmentAI retains personal information for periods reasonably necessary for the purposes described in this Privacy Policy, including to provide and administer the Services, maintain security and operational records, comply with legal obligations, resolve disputes, and enforce agreements.
Retention periods vary depending on the type of information and the purposes for which it is processed.
Account and Administrative Information. ParchmentAI may retain account and administrative information while an account remains active and for a reasonable period afterward as necessary for legitimate operational, security, billing, legal, or compliance purposes.
Platform Activity and Logs. ParchmentAI retains Platform activity, audit, security, and related operational logs for six (6) years in accordance with its security, compliance, audit, and record-retention practices.
These logs may include User identifiers, timestamps, IP addresses, actions performed, security events, and similar operational metadata. They do not contain Client Data, Configuration Data, or the substantive contents of Customer Data.
Billing and Subscription Information. Stripe retains payment and billing information in accordance with its own retention practices and legal obligations. ParchmentAI retains the Stripe Customer identifier and subscription-related account information described in Section 2.2 for as long as reasonably necessary to administer the applicable account and for legitimate operational, legal, or compliance purposes.
Customer Data. Client Data and Configuration Data are retained as described in Section 4 of this Privacy Policy and the Terms of Use.
8. Security
ParchmentAI maintains reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, or destruction, taking into account the nature of the information and associated risks.
No security measure, internet-based service, method of electronic transmission, or information-security program can be guaranteed to be completely secure.
9. Privacy Rights and Choices
Depending on where you reside and subject to applicable law, you may have rights concerning your personal information, which may include rights to request access to, correction of, or deletion of personal information, and to obtain information regarding certain processing activities.
Privacy requests may be submitted using the contact information in Section 14. ParchmentAI may need to verify your identity before fulfilling a request and may limit or deny a request where permitted by applicable law.
9.1 Customer Data Requests
Where personal information is contained in Customer Data that ParchmentAI processes on behalf of a Customer, the Customer generally determines how that information is used and is the appropriate organization to receive privacy-rights requests concerning that information.
Individuals seeking to exercise rights regarding personal information contained in Customer Data should contact the applicable ParchmentAI Customer directly.
If ParchmentAI receives a request concerning Customer Data processed on behalf of a Customer, ParchmentAI may refer the requester to the applicable Customer and may assist the Customer with the request as required by applicable law or contract.
9.2 Account Information
Users may be able to review or update certain account information through the Platform or applicable account-management functionality.
Users may also contact ParchmentAI regarding their account information using the contact information in Section 14.
10. Communications
ParchmentAI may send Customers and Users administrative, transactional, or service-related communications concerning accounts, authentication, security, billing, subscriptions, service changes, or legal notices.
If ParchmentAI sends commercial or marketing communications, recipients may opt out of those communications using the unsubscribe mechanism included in the message or by contacting ParchmentAI.
Opting out of commercial or marketing communications does not prevent ParchmentAI from sending administrative, transactional, security, or other service-related communications.
11. Children’s Privacy
The Platform and Services are intended for business and professional use and are not intended for use by individuals under eighteen (18) years of age.
ParchmentAI does not knowingly permit individuals under eighteen (18) years of age to create or use Platform accounts.
The public Website is not directed to children under thirteen (13) years of age, and ParchmentAI does not knowingly collect personal information online from children under thirteen (13) in circumstances subject to the Children’s Online Privacy Protection Act (“COPPA”).
If ParchmentAI learns that it has collected personal information from a child in circumstances prohibited by applicable law, ParchmentAI will take appropriate steps to delete or otherwise address the information.
12. International Use
The Services are principally designed for use in the United States.
If an individual accesses the Website or Platform from outside the United States, personal information may be processed in the United States or in other locations where ParchmentAI or its service providers operate.
Applicable privacy protections may differ from those available in the individual’s country or jurisdiction.
13. Changes to This Privacy Policy
ParchmentAI may update this Privacy Policy from time to time to reflect changes to our Services, information practices, legal requirements, or other circumstances.
When we update this Privacy Policy, we will revise the “Last Modified” date above.
Where required by applicable law, or where changes are material, ParchmentAI will provide additional notice through the Website, Platform, email, or other reasonable means.
ParchmentAI will not materially expand its use of previously collected personal information in a manner inconsistent with prior privacy commitments without providing appropriate notice or obtaining consent where required by applicable law.
